There is nothing worse than receiving information that is already outdated. Volunteers, teachers and administration show excellence when information is given in a timely manner in a professional way.  

So how do we make sure that what we want to communicate gets completed in a timely manner?  How do we inspire others to get the information in, so that lack of planning isn’t turned into an emergency?   

DEADLINES.  “Deadlines are lifelines," my mentor once told me.  Deadlines are also guidelines, goals for people to strive to reach.  That is why in the printing world we have “Drop Dead Dates”  or the absolute last moment before the project drops dead – it isn’t going to happen no matter what! No negotiations.  You miss one of these and it will never happen again! 

Graphics and Printing is a support department, and it is our mission to support all sites in any way possible.  Unfortunately, this does mean that in order to support ALL we have to set some guidelines to make sure that ALL are supported.  This is hard… I am wired to help people – a “GO TO GIRL” if you please… but deadlines are deadlines.  When a department supports 2,238 employees, guidelines have to be set or chaos rules the roost and I don’t play well with Chaos!   

Recently I had to make some hard decisions regarding deadlines and special projects.  No, I don’t have some weird control issue!  Just a “Go To Girl” trying to keep her staff from mutany!  So here it is:

  • Due to the continuing high demand for A-Z Readers and small booklets: Only 15 titles may be requested on a given date and other orders should be dated at least 5-10 working days apart.  If you are ordering over 50 books per title – please include only 10 titles per order.

  • Please give us longer than 1 day to complete large orders. (Although we appear to have super human powers – sadly…we don’t.)

  • Large booklets will only be printed the last week of each month.  Please have all large booklet orders to G & P by the third Friday of the month.  This allows for the turn around time on large booklets quickly!

If you have volunteers preparing these items PLEASE – PLEASE inform them of the large booklet deadline. As always, as long as we know what’s going on with deadlines- we are always willing to work with everyone until the dreaded DROP DEAD DATE! 

STOCK FORMS
In an effort to rid ourselves of the “middle man”, all 9000 series stock forms and any billable forms (i.e. labels, envelopes, misc. booklets, etc.) are no longer ordered through the warehouse.  9000 series stock forms are now ordered electronically.  This form can be accessed through Graphics and Printing website along with detailed directions on how to submit the form electronically through e-mail.  Orders can also be printed and faxed (4059), or sent directly to Graphics and Printing.  Included on this form, in the left hand corner is a drop down list of current warehouse items that are considered billable.  These items will now be ordered through Graphics and Printing on a regular work order and submitted in the same manner as all other printing orders.  If there is a stock form that you use yet do not see on this form, please contact me at 696-4055.   If you have issues sending the e-mail, please contact me. 

NEW GRAPHICS AND PRINTING DELIVERY SCHEDULE
Beginning August 1st, John, the District mail courier, began picking up Graphics and Printing work orders.  This enabled Graphics and Printing to combat the rising costs of transportation by cutting back on visiting all sites everyday.  Graphics and Printing now delivers to north sites on Monday, Wednesday and Friday and to the south sites on Tuesday and Thursday.  So far this schedule has worked great!  It has even allowed us the flexibility to push back delivery start times when needed to ensure we complete all the work on time.

Delivery schedules have been adjusted to compensate for holidays.  For example: Labor Day – all work due for the Monday deliveries were completed and delivered on Friday before the Monday holiday.  Any jobs received on Friday were completed on Tuesday and delivered that day.   

We have made compensation for “emergency/last minute jobs” although a small fee (.75 per mile from G & P to site) is attached to the order.  As always, teachers are welcome to deliver and/or pick up any last minute orders or submit electronically to speed up the process. 

BUSY BEES
We love keeping busy at Graphics and Printing (makes the day fly by) and I must say we’ve been very happy!  Since the beginning of the 2007-2008 school year, 9.3 million copies have been made!  Just to give you an idea… that is:

  •    4,961        Pads

  •  83,566        Booklets (13,908 Large - 69,658 Small)

  •    4,175        2 Part NCR Forms

  •  30,838        3 Part NCR Forms

  •  21,445        4 Part NCR Forms

  •    3,400        5 Part NCR Forms
